There is no time to waste. We have TESTED the document flow between the client, the accountant and the software (fortunately not full-scale like Igor’s) 🤭 We have tested the entire flow from the receipt of the supplier invoice to its actual posting to the accounting software. The first two problems are usually on the client side and there is a simple and elegant solution to them, read on. __ Issue No. 1️⃣: Lengthy collection and retention/deposit of received invoices from suppliers and forwarding to the accountant Solution ✔ : We will set up a collection email for received invoices from suppliers (the PDF of the received invoice that arrives at the email in question is automatically saved in the application in the received invoices folder, which can be accessed by both the client and the accountant). __ Problem No. 2️⃣: Complicated approval, checking and validation of individual supplier invoices Solution ✔ : Prepare approval paths by ID number, amount (up to limit, over limit), by supplier name, by type of invoice (already paid by card/not paid). We will set the roles of approvers, who can approve what, or the possibility to postpone invoice approval to management. __ Issue No. 3️⃣: Proving the authenticity of the origin of an accounting record Solution ✔ : Received invoices that come into the application from the collection email are time stamped. __ Problem No. 4️⃣: Erroneous and slow data entry/overwriting into accounting software Solution ✔ : Extracting already approved invoices within the application, extracting the data (subsequent accounting control) and validating the extracted data directly in the application. Subsequently transferring them directly into the accounting software together with the invoice in question in PDF format, which is pinned in the accounting software at the accounting case (electronic bookkeeping) __ In an ideal world, I envision the flow of documents between the client and the accountant as described in the solution above. Don’t worry about this change. It will make it easier for all of us to breathe 🤗
